Lewes FC Select - Photography and Filming Policy

Lewes FC Select work with children and families as part of its activities, providing football opportunities to elite youth players. Lewes FC Select is committed to safeguarding and promoting the welfare of all children involved in the club.

We recognise that sharing photographs and films of our activities can help us celebrate the successes and achievements of our teams and players, provide a record of our activities and raise awareness of the club.

Your consent for photography and/or filming is collected during the registration process.

We will not use filming or images of your player without your consent.

This policy outlines the guidelines for photography and filming at our matches, training sessions, and events to ensure a safe and respectful environment for all young players. This policy applies to all club officials, coaches, players, parents, guardians, spectators, and third-party photographers or videographers attending Lewes FC Select activities involving children.

 

General Photography and Filming Guidelines

  • Photography and filming are not permitted at events, matches and training sessions by anyone other than the Lewes FC Select or our designated photographers.

  • Anyone capturing images or videos must do so in a manner that respects the privacy and dignity of young players, officials, and spectators.

  • The use of photography or filming for commercial purposes requires prior written approval from the club.

Safeguarding and Consent

  • The club seeks consent from parents/guardians before taking or using images of children under 18 years old.

  • Any child or parent/guardian who does not wish to be photographed or filmed should notify the club in advance.

  • Coaches and club officials must be mindful of safeguarding concerns and ensure all imagery is appropriate and does not put any child at risk.

Use of Images and Videos

  • Lewes FC Select may use images or videos for promotional purposes, including social media, website content, and marketing materials, with parental/guardian consent.

  • Images should not include personal details (e.g., full names, addresses) without explicit consent.

  • Any use of imagery that may be considered inappropriate or exploitative is strictly prohibited.

  • The club uses VEO technology to record matches and training sessions for performance analysis and player development.

  • Footage captured by VEO may be shared with players, coaches, and parents for review, as well as used for promotional content where appropriate, with parental/guardian consent.

  • If a parent or guardian does not wish for their child to be included in VEO recordings, they should inform the club in advance so appropriate arrangements can be made.

Digital Storage and Deletion of Images and Videos

  • All digital images and videos will be stored securely, with access limited to authorised club personnel.

  • Images and videos will only be retained for as long as necessary for their intended purpose and in line with safeguarding and data protection guidelines.

  • Any images or videos no longer required will be deleted securely.

  • Parents/guardians can request the deletion of specific images or videos by contacting the club’s safeguarding officer.

Spectator and Media Responsibilities

  • Spectators should respect children’s rights to privacy and must not take intrusive or inappropriate photographs.

  • Accredited media personnel must follow the club guidelines and obtain permission before filming or photographing at club events.

Reporting Concerns

  • Any concerns regarding photography or filming should be reported to the club’s designated safeguarding officer.

  • If inappropriate or unauthorised photography is identified, the club reserves the right to intervene and take necessary actions, including requesting deletion of images or removal from the venue.

Policy Review
This policy will be reviewed annually or as required to reflect any changes in safeguarding guidance or club policies.
