Lewes FC Juniors thrives on the dedication of volunteers, and you can be part of it!

Our club is entirely volunteer-run, from coaching on the pitch to organising fixtures, handling finances, and ensuring safeguarding standards. Without volunteers, there is no Lewes FC Juniors.

Whether you have football experience, or are simply passionate about supporting young people, there’s a role for you.

No experience? No problem! Volunteering is flexible, rewarding, and a great way to connect with your community.

Every volunteer role comes with full support, training, and guidance.

Key volunteer roles

Here are some of the essential roles that keep our club running and that we need support with in the 2025-26 season.

Club leadership and administration

  1. Chair / Vice-chair

    • Leadership and oversight: chairs meetings, represents the club externally, and oversees strategic decisions.

    • Time commitment: Many hours weekly.

  2. Secretary

    • Compliance and admin: liaises with leagues, manages affiliations, and organises club meetings.

    • Time commitment: regular weekly commitment, with peak times pre-season.

  3. Membership and registrations secretary

    • Player registration: oversees memberships, payments, and database management.

    • Time commitment: peaks from May to August; manageable weekly thereafter.

  4. Treasurer

    • Finance: tracks payments, budgets, and financial reports.

    • Time commitment: ongoing, with peaks around AGMs and budget planning.

  5. Welfare and safeguarding officer

    • Player wellbeing: ensures safeguarding compliance and manages DBS checks.

    • Time commitment: ongoing, with light duties unless an issue arises.

Football operations and logistics

  1. Fixtures secretary (See situations vacant section for full details)

    • Match-day coordination: ensures teams have accurate fixture schedules and manages match arrangements.

    • Time commitment: requires evening and weekend availability.

  2. Kit manager

    • Equipment and kit distribution: orders, distributes, and maintains kits and equipment.

    • Time commitment: medium, with peaks during kit orders.

  3. Fundraising officer

    • Securing funds: manages sponsorships, fundraising, and grant applications.

    • Time commitment: project-based, peaks during fundraising drives.

  4. Tournament director

    • Event management: organises tournaments and oversees club participation.

    • Time commitment: peaks before and during tournament season.

Coaching and team support

  1. Coach

  • On-pitch development: plans sessions, develops players, and manages matches.

  • Time commitment: 3-4 hours per week minimum.

  1. Team manager/team secretary

  • Team support: coordinates parent communications and match admin.

  • Time commitment: weekly, including match and training support.

Girls Membership and Registrations Secretary

Boys Membership and Registrations Secretary

Lewes Juniors is looking for two dedicated and organised people to take on the roles of Girls Membership and Registrations Secretary and Boys Membership and Registrations Secretary to start as soon as possible!

These positions are vital in ensuring smooth registration for players and their families, particularly at the start of the season (August/September). As the gatekeeper for the club, you’ll be the first point of contact for both coaches and parents when players join or leave the club.

Key responsibilities:

  •  manage player registrations through the Football Association (FA) portal, ensuring all required documents (ID, photos, FA numbers) are uploaded accurately

  •  communicate with parents and guardians about registration requirements, deadlines, and payments

  •  arrange passport inspections, sometimes face-to-face

  •  set up and manage memberships and payments via the Spond app, ensuring accuracy and timely processing

  • apply membership discounts appropriately, including the 50% and sibling discounts, based on need

  •  maintain and update team rosters on both Spond and the FA portal, working closely with coaches

  • handle player departures, including deactivating memberships, cancelling payments, and deregistering players on the FA portal

  • report squad numbers to the committee bi-monthly, identifying teams that may need additional support

  • serve as the primary contact for parents when players join or leave, answering questions and providing support

  •  monitor the registration process, especially at the start of the season, to address any issues promptly

  • keep organised records of registrations and payments for auditing purposes.

Time commitment

The busiest period is the start of the season (August/September), requiring about two hours per week during peak registration.

After the May registration deadline, the workload decreases significantly.

Throughout the year, responsibilities will mainly involve updating records and processing new player registrations.

Why it matters

Our key mission is to build a sense of community through football in Lewes and so we want every interaction between club, parents and coaches to build a sense of care and belonging.

As a Membership and Registrations Secretary, you’ll have direct contact with every parent - and a valuable oversight of how coaches manage their teams. You’ll gain insight into each team’s dynamics, making this one of the most influential roles in the club.

Beyond the admin, this role provides opportunities to build relationships with parents and coaches. It is a fantastic opportunity to develop a deep understanding of how the club operates and offers invaluable experience in club governance and leadership.

Needed for the 2025-26 season

We are currently looking for dedicated volunteers to step into key roles for the 2025-26 season.

These positions are vital to keeping the club running smoothly and ensuring that every child has access to football in a supportive, inclusive environment.

Coaches (volunteer roles)

We are looking for coaches for the following teams:

  • Girls U13s – two coaches

  • Boys & Girls U7s – two coaches

  • Girls U8s – two coaches

Coaches must follow our club-coach contract , adhere to matchday responsibilities and club policies.

No experience? No problem!

We will support you with FA coaching qualifications and mentoring from experienced club members. You will need at least 4-6 hours a week and be able to give up your Sunday mornings during the football season and make the available 3G slot at the Rookery once a week for most of the year, as well as administer and manage your team. It’s a big commitment! We try to ensure there are at least 2-3 coaches sharing it.

Fixtures secretary (volunteer role)

Organisation: Lewes Juniors Football Club

  • Age groups: U7s – U18s (girls and boys)

  • Teams: currently managing 21 teams

  • Leagues: Sussex Sunday Youth League, Mid Sussex Youth League, Sussex County Women and Girls Football League

Role summary

The fixtures secretary ensures that all club teams have accurate fixture schedules and matchday arrangements. This is a crucial role in keeping matchdays running efficiently.

Key responsibilities

Fixture scheduling

  • Liaise with leagues to obtain and distribute fixture lists.

  • Communicate fixture schedules clearly to managers and coaches.

  • Handle fixture changes and postponements, ensuring updates reach all relevant parties.

  • Liaise with opposition teams and referees to confirm match arrangements.

Club and league liaison

  • Attend league meetings, as required.

  • Maintain open and professional communication with managers, coaches, and league officials.

  • Contribute to club meetings and discussions when needed.

Skills and experience

✅Excellent organisational and time-management skills.
✅Strong communication skills, both written and verbal.
✅Comfortable using spreadsheets, emails, and club admin systems.
✅Ability to work both independently and as part of a team.
✅Passion for grassroots football.
✅Experience in a similar role (desirable but not essential).

Commitment

📅 Evenings and weekends required, during the football season.
